# Manage what your squad remembers

> See what your squad remembers, add rules and facts, and import notes. Correct a memory, make it a rule, or forget it, and learn what each squad member reads before it works.

## The five kinds of memory

Memory is the short list of things your squad would otherwise forget. Each memory is one fact of one kind.

| Kind | What it holds | Who adds it |
| ------------- | ----------------------------------------------------------------------------------------------------------------------- | ----------------------------------------------- |
| **Rule** | How you want your squad to work, always or never, including your corrections. Your whole squad follows it on every run. | You, or a squad member quoting your exact words |
| **About you** | How you work, your hours, and the people you work with | You, or a squad member quoting your exact words |
| **Project** | A decision, or where ongoing work stands | You or any squad member |
| **Reference** | Where something lives outside SquadRoom | You or any squad member |
| **Lesson** | Something a squad member learned doing the work | Squad members only |

A rule and an **About you** memory always quote your own words. What a squad member works out by itself is saved as a lesson.

## Open Memory

Click **Memory** in the sidebar. Memories sit on three shelves: **Rules**, **Facts** (About you, then Project, then Reference), and **Lessons**. The newest of each kind comes first.

To narrow the list, click a kind: **All**, **Rules**, **About you**, **Projects**, **References**, or **Lessons**. Each shows its count. A kind with no memories is hidden.

To search, type in **Search memories**. It looks through the text, the why and when, your quoted words, who said it, and the task it came from. With no match, you see "Nothing matches".

## Read a memory

| Part of the card | What it shows |
| ---------------- | ------------------------------------------------------------------------- |
| The text | The memory, in one sentence |
| **You said** | Your exact words, when they say more than the memory does |
| **Why** | The reason, when there is one |
| **When** | When it applies, if only to some work |
| Name | Who said it: "You", or the squad member's name |
| Count | "said 3 times", when it was said more than once |
| Age | How long ago it was said or last changed, such as "3h ago" |
| Where | "in Chat", "added here", "imported", or "while working" |
| **From** | A link to the task it came from, for a memory saved on a task or a ticket |
| "only [name]" | A private memory that only that squad member reads |

## How memories get saved

- **From what you write.** In **Chat**, task comments, and ticket answers, the rules and facts worth keeping are saved, each quoting you. One-off requests, status updates, thanks, approvals, and yes or no answers are skipped. When you change or take back something, that memory is updated.
- **When you ask.** Tell any squad member "remember that..." and it saves the memory then, quoting you.
- **While your squad works.** It saves projects, references, and lessons as it goes.
- **From this page.** You add a memory or import notes.

One fact is kept once. Say it again, and the memory counts it ("said 2 times") instead of adding a copy. Say the same **About you** fact a third time, and it becomes a rule.

## Add a memory

### Step 1: Click Add a memory

Click **Add a memory** at the top of the page. The **Add a memory** window opens.

### Step 2: Pick the kind

Pick **Rule**, **About you**, **Project**, or **Reference**. You can't add a lesson.

### Step 3: Write the memory

In **The memory**, write one fact in one sentence, 8 to 500 characters. **Save memory** stays off until it has text. If you want, fill in **Why** and **When it applies**, up to 300 characters each.

### Step 4: Save

Click **Save memory**. You see "Saved.", and your squad has it from the next run. If something else stops it, the window shows the reason.

## Correct, promote, or forget a memory

Click **⋯** (**Memory actions**) on the card.

| Action | What it does |
| ------------------ | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Edit** | Opens **Edit memory**. Change the kind, the text, **Why**, or **When it applies**, then click **Save**. You see "Memory updated". The memory now counts as yours, and its card says "You". |
| **Make it a rule** | Turns the memory into a rule, and it counts as yours. You see "Now a rule your whole squad follows". Shown on any memory that isn't a rule yet. |
| **Forget** | Click **Forget**, then "Click again to forget". You see "Forgotten". |

A forgotten memory leaves the page, and no squad member reads it again. To get it back, add it again.

## Import notes

Bring in notes about how you work, from another AI assistant, a doc, or what you write yourself.

### Step 1: Click Import notes

The **Import notes** window opens.

### Step 2: Paste your notes

Paste up to 8,000 characters. The box stops taking text there. **Import** stays off until you paste something.

### Step 3: Click Import

The button reads "Reading your notes..." while your squad reads them. Wait for it to finish. From one import, your squad keeps up to 6 memories: the rules and facts worth keeping, each in your words. The rest is skipped. To bring in more, import in parts.

When it's done, the window closes, and you see the count, such as "Imported 3 memories. Your squad has them from the next run." If nothing was new, you see "Nothing in those notes was new to keep."

A note that repeats a saved memory raises that memory's count instead of adding a card.

## What every squad member reads

Before each task, and before each reply in **Chat**, a squad member gets:

| What | How much |
| ---------------------------------- | ------------------------------------------------------------------------------------------ |
| Every rule | All of them, up to the 30 newest |
| Other memories that match the work | Up to 8. For a task, they match its title and brief. In **Chat**, they match your message. |
| A count of the rest | It can search them when the work needs more. |

A private memory reaches only the squad member that saved it.

A memory you add, change, or forget reaches each squad member at its next task or **Chat** reply. A task already running keeps what it read when it started.

A squad member changes or forgets a rule or an **About you** memory only when you ask, quoting your exact words. It can correct or forget a project, reference, or lesson when it finds one wrong or out of date.

> **Tip:** If a squad member keeps getting something wrong, add the right way as a rule. Every squad member follows it on every task.

## What Memory doesn't do

- It doesn't hold finished work, drafts, or research. Those belong in **Docs**.
- It doesn't keep one-off requests, work in progress, or what a squad member searched or ran.
- It doesn't keep facts about your business, such as your product, customers, competitors, or pricing. Those are in the **Company Profile**, under **System files** on **Docs**. How your writing should sound is in the **Company Voice Guide** doc.
- You can't add a lesson, and you can't make a memory private.
- There is no button to forget everything at once, and no undo after **Forget**.
- It isn't a place for passwords. Save website logins in **Settings > Passwords & Logins**.

## If something goes wrong

### "text needs the whole fact in one sentence"

**Cause:** The memory is under 8 characters.

**Fix:** Write the whole fact in one sentence, then click **Save memory**.

### "Paste at least one full sentence to import"

**Cause:** Your notes are under 12 characters.

**Fix:** Paste at least one full sentence, then click **Import**.

### "Your notes could not be read just now, so nothing was imported. Try again in a few minutes."

**Cause:** SquadRoom couldn't read your notes. The window stays open, with your text still in it.

**Fix:** Wait a few minutes, then click **Import** again.

### "That did not save. Try again."

**Cause:** **Make it a rule** or **Forget** didn't save.

**Fix:** Do it again.
