Connect apps through Integrations

Connect the apps your squad works in, label each account, and set its access level. Add an MCP server, disconnect an account, and learn what still needs your approval.

9 min read

Before you begin

  • Have the sign-in for the app account your squad should use.
  • Pick the account with the least access that still does the job. Your squad can only do what that account can do in the app.

Open Integrations

Click your name at the bottom of the sidebar, then Settings, then Integrations. Or press ⌘K (Ctrl+K on Windows), type "Integrations", and select it.

During setup, you connect apps on the Connect your integrations step instead.

The top of the page shows how many apps you connected, such as "3 / 56 connected", and Refresh. Search integrations… finds an app by name or category, and Show Connected hides the rest. Below come Custom, for MCP servers, then each category with its count, such as "1/2". MCP servers are your own connections to services that aren't in the app list.

The apps you can connect

You can connect 56 apps in 15 categories:

Connect an app

Connecting an app lets your squad use your account there, at the access level you choose.

  1. Find the app

Search for it or scroll to its category. An app you haven't connected says "Not connected".

  2. Click Connect

Click Connect on the app's card. The Connect [app] account window opens.

  3. Label the account

Type a label in Account label, such as "work", "personal", or "sales". It can be up to 48 characters, and no two accounts of one app can share a label. Your squad uses it to pick the account.

  4. Click Continue

Click Continue to [app]. A sign-in window for the app opens.

  5. Sign in and approve

Sign in to the app account and approve access. For some apps, such as PostHog and Semrush, the window asks for an API key instead. An API key is a secret code from the app that lets SquadRoom use your account. The window closes when you finish.

  6. Check that it worked

The app's card shows a check mark and "1 account". Click Manage on the card to see the account, its label, and its access level, Read only. If the card hasn't changed, click Refresh.

Choose an access level

Each account has one access level: the most any squad member can do with it. A new account starts at Read only.

LevelWhat the window saysWhat your squad can do
Read only"Only tools marked read-only"Read. Change nothing.
Read + Write"Read and use tools not marked destructive"Read, and make changes, except ones the app marks as destructive (able to delete or damage things)
Full access"Use every available tool, including destructive actions"Everything the app offers, including destructive actions

The level belongs to the account, so every squad member gets the same one. To get different access in one app, connect two accounts at different levels. For example, "work" at Full access and "personal" at Read only.

  1. Open the account

Click Manage on the app's card. Each account shows its label and its level.

  2. Click the level

Click the level on the account, such as Read only. The Manage [label] window opens.

  3. Pick a level and save

Under Account scope · applies to every agent, pick a level and click Save access. If it doesn't save, the window says so. Your squad works at the new level from its next task or Chat message.

Connect more than one account

You can connect up to 5 accounts per app.

  1. Click Manage on the app's card.
  2. Click Add account.
  3. Follow Connect an app with a new label.

Your squad picks an account by its label. When the wrong one would matter, name it in your request, such as "Send it from the sales Gmail."

Point at the dot next to an account to see its status:

StatusWhat it means
ConnectedReady to use
Starting or PendingThe sign-in hasn't finished
Expired, Failed, or RevokedThe connection stopped working. Connect the account again.
DisabledThe connection is turned off. Connect the account again.

Disconnect an account

  1. Open the account

Click Manage on the app's card.

  2. Click the disconnect icon

Click the unplug icon on the account (Disconnect [label]). The Disconnect [label]? window opens. Other accounts stay connected.

  3. Confirm

Click Disconnect account. The account leaves the card, and your whole squad loses it at once. Docs and reports already made with it stay. If it fails, the page shows an error at the top.

Reconnect an account

When an account's sign-in expires or fails, the dot next to it shows Expired, Failed, or Revoked. SquadRoom checks every account once an hour, and again when you open this page or click Refresh.

When an account stops working, the bell at the top shows it too, within the hour, such as "Your Gmail sign-in expired. Reconnect it so your squad can use it again." The line says what happened: the sign-in expired, the connection failed, or the connection is turned off. For an account with a label, it names both, such as "Gmail (work)". Selecting the line opens Settings > Integrations. It leaves the bell once you reconnect or remove the account.

Disconnect the account, then connect it again. You can reuse the label. The new connection starts at Read only, so set its access level again.

If an app stops working during a task, your squad doesn't ask you about it on a ticket. It carries on with the web where it can, and says in its result what it couldn't do. Reconnect the account so later work can use it.

Add an MCP server

An MCP server gives your squad the tools of a service that isn't in the app list. Yours sit under Custom, at the top of the page.

  1. Click Add MCP

Click Add MCP, or Add your first MCP server when you have none. The Add custom MCP window opens.

  2. Name the server

Type a name in Server name, such as "company-tools". Use 2 to 49 lowercase letters, numbers, hyphens (-), or underscores (_), and start with a letter. Spaces become hyphens.

  3. Enter the endpoint

Type the server's web address in HTTPS endpoint, such as https://mcp.example.com/mcp. It must start with https:// and can't include a username or password.

  4. Choose how it signs in

    In Authentication, pick one:

Pick None: the server is open.

  5. Add it

Click Add MCP, or Add and connect for OAuth. With OAuth, you approve access on the server and come back to "Connected [name]."

MCP server status

StatusWhat it means
No authThe server is open.
Token authSquadRoom signs in with your token.
ConnectedYou approved access with OAuth. Click Disconnect to take it back.
Not authorizedOAuth access isn't approved yet. Click Connect.

To remove a server, click its trash icon (Remove custom MCP). It goes at once, with no confirmation.

What still needs your approval

A squad member can't go above the account's access level. Within it:

  • It changes something in an app (sends, posts, updates, deletes, or spends) only when your request or the task asks for that change.
  • Right before an action that is hard or impossible to undo, it asks you for a final approval. It asks even when you asked for the action.
  • You approve the exact words of a post, reply, message, or email before it goes out.

You approve on a ticket, or in Chat with the squad member. See Answer questions and approve drafts.

What Integrations doesn't do

  • It doesn't set access per squad member. Each account's level applies to your whole squad.
  • It changes an account's level only while the account is connected.
  • It has no reconnect button. Disconnect and connect again.
  • It connects only the 56 apps above. Other services need an MCP server.
  • It gives MCP servers no access level.
  • It can't give your squad more than the app account allows.
  • Connecting an app, and your squad's work in it, use no credits.
